Set up Multi-Factor Authentication (MFA)
If you’ve gotten stuck trying to set up Multi-Factor Authentication, ICIT’s Technology Resource Center will step you through setting up one of these methods:
- Microsoft Authenticator mobile app running on your iOS or Android smartphone that requests that you confirm your log in attempt. This is the most convenient option.
- A text message sent to your smartphone or SMS text-capable telephone providing a code to enter in the login window.
- An automated voice call to a designated telephone number providing a code to enter to sign-on.

Outlook email setup
Outlook is available for Windows, Mac, iOS, and Android. There’s also ‘Outlook on the web’. If the instructions didn’t clearly inform you on how to set up a new account or profile in the Outlook app on your desktop or mobile device, or you need help signing in to Outlook on the web, you can get assistance at one of the Outlook setup webinars below.

Shared mailboxes and delegation
For security reasons, CUNY M365 requires sharing of any mailbox through ‘delegation’, which allows specified staff to use the mailbox from their own Outlook account.
Individual users can share their email mailbox or calendar with assistants or others, at their discretion. See instructions for Outlook – Delegate Access & Permissions at the CUNY Training site.
Shared mailboxes (mailboxes that are typically for groups or departments), require the owner of record to request adding or removing delegates through a Service Desk ticket.
Users who are given delegated permissions will find the shared folder in their Outlook mailbox or calendar folder pane. They can also open other mailboxes directly from Outlook on the web, after signing into their personal account.
