What is Proofpoint?

Proofpoint is an email cybersecurity platform that protects users and data from cybercriminals. Proofpoint uses multi-layered threat detection to stop email threats (SPAM, phishing, malware and other threats) from reaching the user’s email box, while giving the user the ultimate ability to pick the senders that the user wants to accept or block. Once accepted by the user, a sender’s emails will never be picked up or blocked by Proofpoint. In addition, it prevents unwanted or malicious content from undermining a user’s brand or social media.

In the recent months, there has been a significant increase in malicious email traffic against various businesses, including higher education entities. As a result, some of the organizations and their customers have suffered significant financial, operational, and reputational loss.

CUNY is implementing Proofpoint at all colleges to enhance its cyber-security profile and provide increased data and identity security to all its students, faculty, and staff.

End-User Email Digest Fast Facts

Proofpoint's Hunter Email Digest is a summary email from digest@hunter.cuny.edu sent (up to) twice a day that contains a list of any newly quarantined email since the previous digest was sent. A Digest will be skipped if no new email has been quarantined. The digest lets you preview the subject and sender of the quarantined messages and, in the rare event that a quarantined message is legitimate, the message can be released to your inbox with a click of a link.

Links contained in the email digest

  1. Release: Send the email to your inbox.
  2. Release and Allow Sender new: Sends messages to your inbox, adds the sender to your Safe list, and allows future emails from that address with a single click.
  3. Allow Sender: Approve all future emails from the sender to go directly to your inbox.
  4. Block Sender: Mark all future emails from the sender as spam.
  5. Request New End User Digest new: Get an updated digest in your Inbox immediately.
  6. Request Safe/Blocked Senders List: Receive a copy of your updated safe or blocked sender lists to your inbox.
  7. Manage My Account new: View and manage quarantined emails from the past 30 days and perform bulk actions.

To ensure you receive specific emails in the future, select the “Release and Allow Sender” one-click feature for that email.

Manage My Account

To view and manage your quarantined emails (both low-priority and suspected spam), as well as your Safe Senders and Blocked Senders lists, go to the Manage My Account page. You can access it by either:

  • Clicking the Manage My Account link in your digest email, or
  • Using this web portal link.

Faculty, Staff, and Student employees may log in using their M365 email credentials: CUNY login and password, accompanied by an Multi-Factor Authentication (MFA) code.

Request Digest

When you click “Manage My Account” at the bottom of your Hunter Email Digest message, click the “Options” dropdown for your options to “Request Digest” or “Refresh”.

Quarantine

The Quarantine tab at the bottom left of the page provides access to two folders: Low Priority Mail – Quarantined and Spam – Quarantined. For each, you will find the list of currently quarantined messages on the right, with the sender and the message header displayed. You can click on one or all of the checkboxes next to the messages to take action on as many as you wish, then click an action: Block Sender, Release, Release and Allow Sender, or Allow Sender, or delete (found under Options after selecting a message).

Safe Senders List

When you choose to Release and Allow Sender or Allow Sender, those senders are added to a list of Safe Senders. To see the list, click on the lower left lists tab as seen in the first image, then the Safe Senders List folder in the upper left to see your Safe Senders List (second image). You will see the email address(es) of those senders you've deemed safe.


Blocked Senders List

When you choose Block Sender, those senders are added to a list of Blocked Senders, and the email is deleted. To see the list, click on the lower left lists tab as seen in the first image, then the Blocked Senders List folder in the upper left to see your Blocked Senders List (second image). You will see the email address(es) of those senders you have blocked.

Proofpoint FAQs

The digest provides a list of emails that have been quarantined since your last digest was sent. Hunter users will receive up to two Digests a day; A Digest is only sent when you've had emails that have been quarantined.

Yes. New functionality gives all users more choices to manage quarantined emails. By clicking the “Request New End User Digest” option at the bottom of a previous Digest, a new Digest will be sent immediately to their inbox for management.

Yes, you can opt to release a quarantined email, as explained above.

Proofpoint does not change the CUNYfirst options for e-mail usage and preferences.

Proofpoint does not in any way limit or change the use of or communication with non-Hunter email addresses. The use of Hunter or non-Hunter emails is not the criteria used by Proofpoint to quarantine certain emails. While it is possible that some non-Hunter emails may be quarantined, the user has the ability via the digest to access those emails and specify that any email from that sender should not be quarantined again.

While Proofpoint does not change the use of non-Hunter emails for communications, students are strongly encouraged to follow the CUNY email guidelines, including using Hunter email accounts to conduct all official college business.

Unfortunately, reversing the implementation of this software is not an option at this time. CUNY and the software provider have informed us that reversing the software would introduce a new set of problems.

Proofpoint retains quarantined emails for 30 days. Once an email has been quarantined longer than 30 days, Proofpoint deletes it.

Proofpoint will display a “message no longer available” error message when you attempt to release a message after the:

  • Message has already been released
  • Sender has already been added to your Safe Sender or Blocked Sender list

Unless an email does not show up in your inbox, you can ignore the “message no longer available” error message.
