ePermit and Permit Courses

ABOUT

ePermit/Permit provides matriculated students with the opportunity to pursue courses at other CUNY colleges or non-CUNY institutions with authorization from the Office of the Registrar while simultaneously attending Hunter College. This will allow the course taken at another institution to be transferred and applied to the student’s record at their home school (where they intend to graduate) to fulfill degree requirements.

ePermit Summary

An electronic application that can grant matriculated CUNY students' permission to register for courses offered at other CUNY campuses. An ePermit is required if attending one home campus while attending other CUNY institutions to fulfill degree requirements.

How to file an ePermit

Permit Summary

Students that pursue courses outside of CUNY (e.g, SUNY) while concurrently enrolled at Hunter must complete a non-CUNY Permit application with the associated academic department that governs the discipline.

Taking a class at a non-CUNY

Disclaimer

Submitting an ePermit application does not (1) guarantee approval nor does it provide automatic registration at the host. (2) No seats are reserved or held for those on ePermit. (3) Do not expect immediate enrollment at the host(s) if your request is approved by Hunter.

ePermit Application Dates

NOTE: Please review the section above before applying for an ePermit or Permit.

Including enrollment at Hunter, the maximum number of credits allowed for the winter session are 4 credits and 17.5 credits for the spring term. Students that exceed the maximum credit load should request permission through the Office of Advising.

Late ePermit requests will not be accepted or processed.

  • For inquiries related to ePermit, email epermit@hunter.cuny.edu
  • When corresponding, always use your CUNY student email and include your EMPLID so that we can better assist you.
  • You must have access to and use your Hunter student email in case our office or the host school needs to contact you regarding the ePermit process, or any related issues that may be time sensitive.

Eligibility

In order to be eligible for an ePermit:

  • Your record must not have any negative holds that prevent course enrollment; i.e.: major declaration, bursar, admissions, immunization, dean of students, etc., and you may not be on academic probation.
  • You must be a matriculated (degree-seeking) student at Hunter College
  • Undergraduate students must have a minimum cumulative GPA of 2.00
  • Graduate students must have a minimum cumulative GPA of 3.00
  • First semester transfer students must have a minimum cumulative GPA 2.00 from their last institution.
  • If the ePermit course has a prerequisite, the final grade of the prerequisite must be posted to your CUNYFirst record before decisions are made on your ePermit request/s.
  • CUNY Baccalaureate for Unique and Interdisciplinary Studies (CUNY BA), Macaulay Honors College (MHC) and students participating in Reserve Officers' Training Corps (ROTC) programs at Hunter in their first semester are eligible.

First-semester students (freshmen) and non-degree students are not eligible for ePermit.

If you wish to take a course at a non-CUNY college or university, you must complete a paper permit. In order to get approved for a permit you must:

  • Be matriculated (admitted and enrolled at Hunter as a degree student)
  • Be in good academic standing (not on probation)
  • Have a minimum 2.0 GPA or higher
  • Not have any negative service indicators (stops or holds) on your records
  • Have attended a previous semester
  • Not exceed 17.5 credits during the fall and spring, 15 credits during the summer, or 4 credits during the winter session
  • Not recommended to go on permit during the semester you plan to graduate

To Request a Permit

  1. Take the form to the applicable Hunter department in order to obtain both a Hunter College equivalent and approval (both stamped and signed) to take courses at the other school.
  2. Make a copy of the approved permit and return to the original to the Office of the Registrar.
  3. You will be registered for the number of credits the course is listed for at the host college.
  4. Pay the tuition rate that is charged at Hunter via your CUNYfirst account.
  5. Show a copy of the CUNY permit form and paid Bursar’s receipt to the school you wish to attend.
  6. Contact the host college to find out the procedures for admission and registration.
  7. If you did not register for the permit credits or register for a different number of credits, you must contact the Office of the Registrar.

Additional Information on Permits

  • Nothing is returned to you and no registration for the permit course is done at Hunter. All registration for the course is done at the school you are planning to attend.
  • If during the fall and spring semesters, you are not taking any classes at Hunter while attending a non-CUNY school you should not fill out this form. The course will be handled as a Transfer of Credit through the Office of Admissions.
  • A Readmission Application must be filed with the Office of Admissions by the deadline date prior to returning to Hunter.
  • When you have completed your course(s), have an official transcript sent to the Office of the Registrar. Only a grade of C or higher is acceptable from a non-CUNY school course.
  • You may attend Marymount Manhattan College on the Special Exchange Program during the fall and spring semesters only.
  • You may also attend Manhattan College of Aerospace Studies course given by the Air Force ROTC Unit. The credits for these courses will be accepted by Hunter as electives only.

How to File an ePermit

Prior to applying for an ePermit, students should plan and discuss any courses used to fulfill major or minor requirements with their academic advisor at Hunter.

Courses that apply to other areas, such a common core, pluralism and diversity, Hunter Focus, etc., should be discussed with a general advisor.

With the exception of the CUNY Baccalaureate program, the ePermit coordinators and staff/faculty at other CUNY institutions cannot advise students on completing their Hunter College degree requirements.

We recommend that you check course scheduling and availability at the host colleges using the Schedule Builder or the CUNY Global Search Tool before submitting your request. To determine course equivalency, you may use the CUNY Transfer Explorer (T-Rex) tool. When using this tool, Hunter is always the college where the course is transferring to.

See below for how to file an ePermit through CUNYfirst based on your career, program and need:

ePermit Process and Checking Status

  • After ePermit is submitted and in the ‘initiated’ status, it will be received by Hunter’s ePermit unit, not the host college(s). The host(s) cannot review an initiated ePermit request.
  • All requests are added to a queue and will be reviewed in the order they have been received.
  • The ePermit unit will review your request to verify if you have met the requirements to complete the course at another campus based on your CUNYfirst record. In some cases, your request will be forwarded to a committee (academic department and/or advisor) for further review.
  • The ePermit status will be updated on CUNYfirst with instructions/comments from the ePermit unit and/or the committee.
  • Students are solely responsible for regularly checking their status on CUNYfirst. Hunter’s ePermit unit will not notify students regarding updates via email.

Only submit valid and serious ePermit requests with the intent to pursue a course at another CUNY institution.

1. Log into CUNYfirst → Student Center → Course Planning and Enrollment.
2. Select 'ePermit’ on the left-hand margin and then ‘My ePermits’.
3. Identify the row where Hunter College is the listed institution with the corresponding term in which your ePermit has been submitted.
4. Click the toggle switch: N → Y (No → Yes) to view your ePermit requests.
5. The ‘ePermit to View Details’ will populate below the term table. The last column will display the relevant status:

  • Initiated: ePermit request has been received by Hunter’s ePermit unit and will be reviewed in the order it has been received.
  • Pending Committee Approval: The request has been forwarded to committee member(s) or advisor(s) responsible.
  • Approved: Hunter has approved your ePermit. The host college will be notified electronically.
  • Denied: Hunter’s ePermit unit or the committee has denied your request. Review eRegistrar or committee comments for rationale. No need to cancel denied requests.
  • Cancelled: Student has clicked on the ‘Cancel’ button. The ePermit is now invalid and cannot be reactivated.

6. To view comments from the ePermit unit and/or committee(s) click on the request and a pop-up window will appear with the ePermit Details.
7. Within that window, scroll down to review instructions or rationale in eRegistrar comments and/or the committee ePermit Approval comments section.
8. To return to the previous screen, select Close. Do not select ‘Cancel’ to return to the previous page. It will invalidate your entire request.

How to Cancel ePermits in CUNYfirst

If you no longer intend or wish to take a course on ePermit, you must cancel your ePermit. NOTE: Cancelling an ePermit does not automatically drop or withdraw you from the course at the host. You must first drop the approved course(s) using the Schedule Builder on CUNYfirst after referring to the hosts academic calendar regarding tuition liability and withdrawal dates. Once you have submitted a cancellation request, the action is final and the ePermit cannot be reactivated.  If there is no approved ePermit request from Hunter and you remain enrolled at the host college, the course, credits and grade may not transfer to your record at the end of the semester.

Initiated or Pending

Cancellation will remove the request from the queue for review and processing. If you no longer want to be considered for an ePermit at this stage, cancel it as soon as possible as it may incur tuition costs, obstruct your ability to enroll in other courses at Hunter or negatively affect your audit upon applying for graduation.

Approved

This will immediately invalidate your request(s) to attend the requested course(s) at the host(s). The PERM and CUNBA courses on schedule are NOT actual courses, but only used for billing and credit count purposes. Students cannot drop the associated PERM or CUNBA code(s) on their own. Only Hunter’s ePermit unit can remove these codes from your schedule.

  1. Log into CUNYfirst → Student Center → Course Planning and Enrollment.
  2. Select ‘ePermit’ on the left-hand margin and select ‘My ePermits’.
  3. Identify the row where Hunter College is the listed institution with the corresponding term in which your ePermit has been submitted.
  4. Click the toggle switch: N → Y (No → Yes) to view your ePermit requests.
  5. A table with the ePermit submissions will populate below and you will see your request(s) with the status displayed in the last column.
  6. Select the ePermit you need to review, and a popup window will appear with the details.
  7. Select ‘Cancel ePermit’ at the top of the window. Select ‘Yes’ to confirm you would like to proceed with cancellation.
  8. Your ePermit Status will change to ‘Cancelled’. Select ‘Close’ to return to the previous screen.
  9. If you were billed for an ePermit, the ePermit unit will process your cancellation request within 1-3 business days. If there are any issues, please contact: epermit@hunter.cuny.edu.

FAQ

The average time it takes for an ePermit request to be reviewed and a determination to be made will vary. The peak times are primarily during the start and end of the semester where:

  • A high volume of requests
  • The course needs approval from the student’s program
  • An administrator encounters any issues with the student’s record, etc.

Please allow administrators between 5-10 business days (excluding holidays) to review your ePermit. This includes departmental review, usually for major courses or equivalencies, if deemed necessary.

The PERM code on the course schedule is posted upon ePermit approval and is only for billing purposes. It is not the requested ePermit course and students are still expected to enroll at the host using the Schedule Builder. Students are billed at Hunter upon approval of their ePermit based on the corresponding number of credits for the course at the host. Additionally, students are charged at Hunter at the same tuition rates depending on the course career (undergraduate or graduate course).

ePermit courses currently in-progress at the host school will not be visible on DegreeWorks until the end of the semester. DegreeWorks is unable to detect courses you are registered in outside of your home school (Hunter).

The transfer and posting of the ePermit course(s) and grade(s) to your Hunter record is a manual process done at the end of the semester by the ePermit unit. There are a significant number of students taking courses during the spring/fall semester and there will a delay. Students do not need to notify the unit when their grades are posted as administrators will be regularly checking towards the close of the term.

Please contact the Hunter’s ePermit unit if:

  • There has been a grade change by the host college.
  • The completed ePermit course is a prerequisite for another required course at Hunter.
  1. I am receiving an error that states: “You are not eligible to enroll for the ‘UGRD’ academic career”
Students will not be able to immediately enroll at the host institution upon ePermit approval from Hunter. Host instructions also have queues and process applications in the order they were received, from ALL other CUNY schools. Some institutions may contact you via your student email with registration instructions if approved, therefore it is important that you have access to and regularly check your Hunter student email.
  1. Error: Unable to add this class - requisites have not been met when attempting to enroll at host(s). Students will encounter this error even if they have completed the prerequisites for the approved ePermit at Hunter. The respective department at the host will waive the prerequisite. If the host has sent an email with registration instructions, then the student should refer to it to resolve this error.
  1. Invalid value when entering alpha/numeric set in host session (red text area)
By selecting the magnifying glass icon to the right of the text input area, a pop-up window will appear with the option to look up each session available at the host. If *no matching values were found", depending on what point of the semester, the host may not be accepting ePermits at that time.
  1. Error: Unit Limit Exceeded For Appointment Period
The host has set a credit limit for ePermit(s). If the student has been recently approved for a second ePermit at the same host, they must wait until their record has been updated. There is a 17.5 credit limit for the major semesters at Hunter College (spring and fall), 4 credit for winter and 7.5 per session during the summer before a credit overload.
