ePermit and Permit Courses

IMPORTANT

Irrespective of the ePermit opening dates listed below, students should only submit their ePermit once their Hunter enrollment (registration) appointment has begun. Students who submit their application before their assigned enrollment time and date will be denied and asked to resubmit once their assigned date and time is active. Applications will NOT be processed prior to their appointment.

Enrollment appointments can be found by selecting Course Planning and Enrollment tile on the Student Center on CUNYfirst -> Enrollment Dates -> Select the respective term where Hunter College is the listed institution and click continue. Students can submit their ePermit applications on or after the date and time listed under “Appointment Begins” up until the day before the semester/session begins.

Late ePermit requests will not be accepted or processed.

When in correspondence, always use your CUNY student email and include your EMPLID so the ePermit unit can better assist you. It is imperative that you have access to and use your (Hunter) student email in the event our unit or the host school needs to contact you regarding the ePermit process or any related issues that may be time sensitive.

TAKING CLASSES AT ANOTHER COLLEGE

If you wish to take a class at another CUNY college, the process is paperless and known as an “ePermit.” Taking a class at a non-CUNY college or university while attending Hunter College is known as taking a class “on permit.”

Students must have an approved ePermit (via CUNYfirst) or permit from the Hunter ePermit unit in order for the course and grade to be applied to their Hunter record and transcript. Guides for each are located below under Take a Class at Another CUNY via ePermit and Take a Class at Another Non-CUNY College via Permit.

It is recommended to check course scheduling and availability at the host colleges using the CUNY Global Search Tool before submitting your request.

The ePermit Process

When submitting an ePermit request, acknowledge the following: 

  • You may not be able to enroll immediately upon approval from Hunter. Students will have to wait until the host school processes and updates their record with an enrollment appointment. 
  • Hunter’s ePermit unit maybe unable to reach you regarding updates to changes in your status. Students are responsible for checking their status on their own (see below for more information) 
  • Students are expected to enroll in the approved ePermit course on their own using the Schedule Builder. For example: If requesting and approved to take BIO 425 – Anatomy and Physiology 1 at Borough of Manhattan Community College for Fall 2022, you are expected to enroll in that course alone for the fall semester. If you enroll in a course that varies from what you were originally approved for, it will NOT be transferred to your Hunter College record.
  • Requests cannot be expedited or prioritized.

Students should not expect immediate or next day registration at the host college if their ePermit is approved at Hunter. The ePermit system does not automatically enroll students into the course nor does it guarantee a seat.

The ePermit process is not automatic. Most operations are done manually by administrators at both institutions beginning at Hunter’s Office of the Registrar – ePermit unit to that of the host institution, which could be their registrars or admissions office (it will vary by school). Multiple steps are taken before you can be approved and able to enroll at the host(s).

Eligibility

  • Record must not have any negative holds that prevent course enrollment; i.e.: major declaration, bursar, admissions, immunization, dean of students, etc., or be on academic probation. 
  • Must be a matriculated (degree seeking) student at Hunter College. 
  • Undergraduate students must have a minimum cumulative GPA of 2.00. 
  • Graduate students must have a minimum cumulative GPA of 3.00 
  • First semester transfer students with a minimum cumulative GPA 2.00 from their last institution.
  • CUNY Baccalaureate for Unique and Interdisciplinary Studies (CUNY BA), Macaulay Honors College (MHC) and students participating in Reserve Officers' Training Corps (ROTC) programs at Hunter in their first semester.
  • If the ePermit course has a prerequisite, the final grade of the prerequisite must be posted to your CUNYFirst record before decisions are made on ePermit requests.

*First-semester students (freshmen) and non-degree students are not eligible for ePermit. 

Restrictions

  • Students cannot be enrolled in the equivalent at Hunter and request the same course on ePermit. 
  • At least 30 credits must be completed at Hunter for graduation residency requirements. 
  • 50% of major and minor courses at Hunter College for graduation residency requirements. 
  • Students cannot request or opt-in for Credit (CR), No Credit (NC), Audit (AUD) or Pass (P) grades for ePermit courses at the host school. Our unit will contact the host to have it reverted to the original letter grade. 
  • Psychology majors cannot take level 200 and 300 courses. 
  • Nursing majors cannot take nursing courses on ePermit. 
  • Physics courses cannot be taken at the community college level. 
  • Writing Intensive (WI) courses cannot be fulfilled on ePermit.
  • New York City College of Technology of CUNY does not accept science ePermit. *This is not limited to Hunter College* (Physics, chemistry and biology.)
  • Per the Hunter Biology Department policy, students are not allowed to ePermit Principles of Biology 1 and 2 (BIOL 10000 and BIOL 10200) course at Baruch, Brooklyn and/or York College. An exception is only made to those who completed the course at one of the aforementioned hosts as a transfer student or prior to the policy change.

You must submit an “ePermit” application if you are planning to go to another CUNY school. An ePermit allows you to take courses at other CUNY institutions. You still pay all tuitions and fees to Hunter College. The ePermit application can be found on the Student Center page on CUNYfirst. Remember to register at the college you will attend.

If you cannot obtain the class you wish to register for at a CUNY school, please cancel your ePermit on CUNYfirst immediately to avoid incurring any additional charges and fees.

All ePermit grades, as well as credits, from other CUNY Colleges, will be entered on your Hunter College record and calculated GPA.

How to Apply for ePermits

If you wish to take a course at a non-CUNY college or university, you must complete a paper permit. In order to get approved for a permit you must:

  • Be matriculated (admitted and enrolled at Hunter as a degree student)
  • Be in good academic standing (not on probation)
  • Have a minimum 2.0 GPA or higher
  • Not have any negative service indicators (stops or holds) on your records
  • Have attended a previous semester
  • Not exceed 17.5 credits during the fall and spring, 15 credits during the summer, or 4 credits during the winter session
  • Not recommended to go on permit during the semester you plan to graduate

To Request a Permit

  1. Take the form to the applicable Hunter department in order to obtain both a Hunter College equivalent and approval (both stamped and signed) to take courses at the other school.
  2. Make a copy of the approved permit and return to the original to the Office of the Registrar.
  3. You will be registered for the number of credits the course is listed for at the host college.
  4. Pay the tuition rate that is charged at Hunter via your CUNYfirst account.
  5. Show a copy of the CUNY permit form and paid Bursar’s receipt to the school you wish to attend.
  6. Contact the host college to find out the procedures for admission and registration.
  7. If you did not register for the permit credits or register for a different number of credits, you must contact the Office of the Registrar.

Additional Information on Permits

  • Nothing is returned to you and no registration for the permit course is done at Hunter. All registration for the course is done at the school you are planning to attend.
  • If during the fall and spring semesters, you are not taking any classes at Hunter while attending a non-CUNY school you should not fill out this form. The course will be handled as a Transfer of Credit through the Office of Admissions.
  • A Readmission Application must be filed with the Office of Admissions by the deadline date prior to returning to Hunter.
  • When you have completed your course(s), have an official transcript sent to the Office of the Registrar. Only a grade of C or higher is acceptable from a non-CUNY school course.
  • You may attend Marymount Manhattan College on the Special Exchange Program during the fall and spring semesters only.
  • You may also attend Manhattan College of Aerospace Studies course given by the Air Force ROTC Unit. The credits for these courses will be accepted by Hunter as electives only.

How to Determine Course Equivalency

For CUNY colleges, course equivalencies populate the application after choosing “Add ePermit with Equivalent Course” on the ePermit application via CUNYfirst. You can also use the Transfer Explorer Tool (T-Rex) to determine course equivalencies between CUNY institutions. NOTE: Hunter will always be the receiving college if using this website. Some courses will still be subject to academic department review for equivalency.

For non-CUNY colleges, evaluate course equivalency by using the Hunter College Course Equivalency search engine.

How to Cancel ePermits in CUNYfirst

For Hunter Students going out on ePermit
  1. Log into CUNYfirst
  2. Visit your Student Center page, select Academic Records tile
  3. Click on ePermit
  4. The ePermit application opens, select Search ePermit and the term you were approved for the ePermit and your Home School, Hunter College. Select the course that you wish to cancel, if the ePermit is denied, you do not need to cancel it. Click on Continue on the bottom right.
  5. When the ePermit application pops up, scroll down to the bottom of the application.
Important Notes
  • Cancelling the ePermit application with this instructions does not automatically drop/withdraw you from the course. This request informs us that you want to cancel your ePermit application.
  • If you are also enrolled into the actual course at the Host School, you will need to drop the actual course as well (not the PERM billing unit -this is dropped by us once we processed your cancellation)
  • Please check your Student Hunter e-mail, just in case we attempt to contact you with an issue regarding your cancellation request
  • Please allow us 1-3 business days (excluding holidays and out of office hours) to drop the PERM billing course from your schedule.

FAQ

The average time it takes for an ePermit request to be reviewed and a determination to be made will vary. The peak times are primarily during the start and end of the semester where:

  •  A high volume of requests 
  • The course needs approval from the student’s program 
  • An administrator encounters any issues with the student’s record, etc.

Please allow administrators between 5-10 business days (excluding holidays) to review your ePermit. This includes departmental review, usually for major courses or equivalencies, if deemed necessary.

If approved, the host will receive a notification of as part of their queue. They will be managing ePermit requests from their own students as well as those (incoming) at CUNY schools. Students are recommend to do the following steps: 

A: Log onto CUNYfirst to review their approved ePermit at Hunter and the course details. (Enrolling in the erroneous course at the host can affect the course transferability to your Hunter record and financial aid.) Starting on the Student Center, select the Academic Records tile -> ePermit -> Search ePermit -> the term in which the ePermit was submitted where Hunter College is listed in the row -> Select the approved ePermit then Click Continue. Revise the subject and catalog number where the host college information is listed as well as any comments from the eRegistrar or the department. 

  • Select the Course Planning and Enrollment tile on the Student Center -> Enrollment Dates Two potential outcomes:
  • If the host have updated your record, you will see them listed in the table row for the corresponding term. Select the row where the host is listed and press continue. Pay attention to the ‘Appointment Begins’ cell -> that is your date and time to enroll at the host.’ Proceed to the Schedule Builder to enroll in the course. Any requisite/department consent errors must be resolved with the respective academic department for the course at the host school.
  • If the host has not updated your record with an appointment time, you have to wait until it’s been processed. It’s recommended that you give them at least two weeks. If that time has exceeded, first check your @MyHunter student email as they may have tried to contact you in regards to the course. You can also email our unit for further assistance: epermit@hunter.cuny.edu 

Students are required to review the eRegistrar and/or committee comments once their ePermit has been approved, denied or cancelled. Departmental committee members will often list equivalencies (i.e, Chemistry) or important notes on how this course would affect your Hunter record. Starting from Academic Records on the Student Center -> ePermit -> select Search ePermit -> (The respective term at Hunter College row) -> Select the ePermit number -> Continue. 

How to Cancel ePermit (PDF)

The PERM code on the course schedule is posted upon ePermit approval and is only for billing purposes. It is not the requested ePermit course and students are still expected to enroll at the host using the Schedule Builder. Students are billed at Hunter upon approval of their ePermit based on the corresponding number of credits for the course at the host. Additionally, students are charged at Hunter at the same tuition rates depending on the course career (undergraduate or graduate course). 

ePermit courses currently in-progress at the host school will not be visible on DegreeWorks until the end of the semester. DegreeWorks is unable to detect courses a student is registered in outside of their home school (Hunter).

The transfer and posting of the ePermit course(s) and grade(s) to your Hunter record is a manual process done at the end of the semester by the ePermit unit. There are a significant number of students taking courses during the spring/fall semester and there will a delay. Students do not need to notify the unit when their grades are posted as administrators will be regularly checking towards the close of the term. Please contact the Hunter’s ePermit unit if: 

  • There has been a grade change by the host college. 
  • The completed ePermit course is a prerequisite for another required course at Hunter. 
  1. I am receiving an error that states: “You are not eligible to enroll for the ‘UGRD’ academic career”
    Students will not be able to immediately enroll at the host institution upon ePermit approval from Hunter. Host instructions also have queues and process applications in the order they were received, from ALL other CUNY schools. Some institutions may contact you via your student email with registration instructions if approved, therefore it is important that you have access and regularly check your Hunter student email.   
  1. Error: Unable to add this class - requisites have not been met when attempting to enroll at host(s). Students will encounter this error even if they have completed the prerequisites for the approved ePermit at Hunter. The respective department at the host will waive the prerequisite. If the host has sent an email with registration instructions, then the student should refer to it to resolve this error. 
  1. Invalid value when entering alpha/numeric set in host session (red text area)
    By selecting the magnifying glass icon to the right of the text input area, a pop-up window will appear with the option to look up each session available at the host. If *no matching values were found", depending on what point of the semester, the host may not be accepting ePermits at that time. 
  1. Error: Unit Limit Exceeded For Appointment Period
    The host has set a credit limit ePermit(s). If the student has been recently approved for a second ePermit at the same host, they must wait until their record has been updated. There is a 17.5 credit limit for the major semesters at Hunter College (spring and fall), 4 credit for winter and 7.5 per session during the summer before a credit overload.
